COMMITEE MEETING HELD 3RD MAY 2016 AT CHARMOUTH

Present: Paul Lobley,  Mike Stock, Jane Winkworth and Brenda Evans.
APOLOGIES from Kay Norman , Karen Holcombe, Philip and Sue Underhill.

Paul reported that Mike Winterton may be able to help us by towing the trailer.

Brenda agreed to confirm the number of attendees at the EGM held at Washing Pool farm, Easter Compton, Bristol on the 23rd April.  Post meeting; confirmed 101 members signed in and 96 voted.

FIRE EXTINGUISHERS-; The club owns four and they need to be available for members to take to the National Rally.  At present they are held by Brenda, Kay, Trevor at the moment, and Paul.

Copies of the Constitution should be held by each committee member. Brenda has several copies and will attend to this.

TRAILER- Mike and Paul will organize checking the trailer although it is thought it will not be needed, until, at least, the Balloon Fiesta but it will be left in storage until the A G M.   Possibly a pop up gazebo for use by hosts would be enough.

A new member has been signed up at this rally and the paperwork will be sent to Head Office.

It was reported that several people had spoken to Chris Maynard at Charmouth regarding her health.  Chris had knee surgery in February and has not been too well since but is hoping that surgery on her other knee will take place soon and she will then be better able to walk.  Christine Gautier had made contact with the new committee as no get well card had been sent and she thought that one should have been.  As Chris Maynard was at Charmouth and had chats with the committee members present it was decided that no card is now necessary but we do wish her well for future surgery.

FUTURE MAJOR RALLIES- Castle Coombe has hosts in place sufficient to cover.
BALLOON FIESTA will need lots of help to cover the busy midweek start but hope we have time to get to grips with that.

As the committee for Avon Group we will not be using Face Book and will not be responsible for anything that may appear relating to our group as at May 3rd 2016. 

Kay, as Treasurer, has sent Macmillan a cheque for £107. 67. A receipt should be received and a copy can go on the Web Page to show our members how much we collected for them.

NATIONAL RALLY – We the committee will cover the cost of decorations for the group table. At present eight people are going.  June Dash has offered to purchase what is needed in table decorations and will be reimbursed by the treasurer with receipts up to £50.00. Mike proposed, Jane seconded and passed by all.

DYRHAM PARK- Paul Lobley is hosting this rally but would like more information regarding the venue before he would normally get the rally box.

CHEDDAR – Strawberries and cream dishes?  June thinks she may have enough but will check and let us know. We plan to cut strawberries and serve them with clotted cream. Phil has offered to make and supply some scones for any who don’t like fresh fruit.  The rally is due to start at 11am on Wednesday 22nd June but this may prove difficult as the E U referendum voting is Thursday 23rd June. We need hosts and if someone has a postal vote organised and is willing to be in Cheddar  ready for Wednesday start, good. If the Wednesday start causes too many problems then we may be forced to change to start Thursday lunchtime.

BALLOON  FIESTA -  August 10th to 15th.  Jane will get raffle prizes for this rally value £75.00.
We will need to organize a rota of able bodied people to help work this rally as it has, usually, a busy  Wednesday start and it is quite a big field to walk around.

Paul advised that we need Health and Safety risk assessment to be taken into account for all rallies not on proper camp sites.

Mary Newport is willing to be co-opted onto the committee. Thank you Mary;  Agreed by all present.
